How KLANS events and tournaments work

Schedule an event, set participant roles and capacity, take RSVPs, and run a waiting list that fills itself.

Who can create one

A clan's owner, admins and event managers create events for that clan. KLANS moderators create platform-wide events. Everything below is on the create form on the events page.

Time, place and visibility

An event has a start, an optional end, and a time zone — attendees see it converted to theirs, so a European raid night reads correctly to somebody in Chicago. Location can be online, in person or hybrid. Visibility is public, clan members only, or invite only; only public events are readable without an account or listed in search, so a tournament you want strangers to enter must be public.

Participant roles

Define the roles your event needs and how many of each — 2 tanks, 4 healers, 18 DPS. Attendees pick a self-select role when they RSVP, or an organizer assigns one. The event page shows each role filling up, which is usually the fastest way to see what a team is still missing.

Capacity and the waiting list

Set a capacity and sign-ups past it join a waiting list in order rather than being turned away. When somebody withdraws, the next player in the queue is promoted automatically and notified. Organizers can reorder or remove queue entries.

Sign-up questions and rules

Custom sign-up questions collect what you need at RSVP time — rank, character, region, whatever the format demands — and their answers are visible to organizers only. If the event has rules, you can require attendees to agree to them before their RSVP counts.

Recurring events

An event can repeat daily, weekly or monthly, a fixed number of times or until a date. Upcoming occurrences are created ahead of time and the rest are generated as their turn approaches, so a weekly raid night does not need re-creating every week. Editing a series lets you choose whether a change applies to one occurrence or all of them.

On the day

Announcements push a message to everybody attending. Reminders go out on a schedule you set, and each attendee can add a personal one. The event's discussion thread is where the plan actually gets made.
